Catering Terms and Conditions

  1. DEFINITION
    Under these terms and conditions,
    (a) the 'BTC' is the Brisbane Turf Club Event Centre or BTC Event Centre; and
    (b) the 'Client' is the individual or company under whose name a function booking is made.
  2. FUNCTION BOOKINGS
    (a) The BTC will issue the Client with an invoice for a security deposit immediately upon receiving notice of a tentative booking.
    (b) A binding agreement between the Client and the BTC is effective upon receipt by the BTC of the security deposit.
    (c) Notwithstanding that the BTC has issued an invoice for security deposit to the Client, bookings are secured subject to availability of function areas.
    (d) Cancellation of a booking will result in forfeit of the full amount already paid by the Client.
  3. PAYMENT
    (a) Full payment of the cost of the Client's function is due and payable 14 days prior to the function, unless a prior arrangement has been reached with the BTC.
  4. CATERING
    (a) The BTC is the sole provider of catering within the grounds of the Doomben Racecourse.  The Client must not bring food or beverages into the grounds of the Doomben Racecourse without the prior permission of the BTC.
    (b) The Client will liaise directly with the BTC for the provision of all catering requirements.
    (c)  Notwithstanding any information given to the Client upon the Client's initial catering and functions inquiry, the costs and availability of catering and functions options offered by the BTC are subject to change.
    (d)
    Catering requirements, including food and beverage requirements, theming, structure, audiovisual and all other requirements, must be finalised at least 14 days prior to the date of the function.  Any changes made to the requirements within 14 days of the function may incur a late fee.
    (e) Final numbers for catering purposes must be confirmed 14 days prior to the date of the function when final payment is required, if numbers on the day are less than numbers confirmed 14 days prior, no refund will be supplied
    (f) All beverage bills must be settled on the day of the function by cash, cheque or credit card.
  5. TICKETS (IF REQUIRED)
    (a) The BTC will issue the Client tickets for entrance into Doomben Racecourse and into the function area, only on receipt of the final payment, and during the week prior to the date of the function.
    (b) Only tickets issued by the BTC will be accepted for entrance into Doomben Racecourse and into function areas. 
    (c) Any tickets issued to the Client that will not be required must be returned to the BTC, otherwise full catering costs may be charged.
    (d) The Client must ensure that guests display the correct ticket for entrance at all times.  The BTC reserves the right to refuse to admit or to serve a person who is not displaying the correct ticket.
  6. SUPPLY AND CONSUMPTION OF LIQUOR
    (a) Under the Liquor Act (Qld) 1992, section 156, the BTC is prohibited from supplying liquor, or permitting or allowing liquor to be supplied to, or allowing liquor to be consumed by minors, or persons who are unduly intoxicated or disorderly.
  7. USE OF FACILITY
    (a) The Client is permitted to use the facility of the BTC only on the date or dates agreed upon by both parties.
    (b) Responsibility for any items such as audiovisual equipment or decorations, belonging to the Client, and brought on to the grounds of Doomben Racecourse, remains with the Client.
    (c) Any damage or cleaning costs arising from the Client's function, which the BTC deems unreasonable, will be billed to the Client.
    (d) Company signage permitted within the agreement between the BTC and the Client is restricted to the Client's private function area.
  8. CONTRACTORS
    (a)
    If the Client wishes to engage a contractor to provide any service for the Client's function, the Client must obtain permission from the BTC.
